Privacy policy

This policy covers the website aitilitoimisto.fi and the Raikas accounting service. It explains how Syntropia Oy processes personal data when you use the website, contact us or are our customer. We follow the EU General Data Protection Regulation (2016/679). This is a translation; if the versions differ, the Finnish policy applies.

2. What data we process
- Contacts by phone or email: name, contact details and the content of the message.
- Customer relationship: names and contact details of contact persons, and billing and contract details.
- Accounting records: the documents the customer sends us and any personal data in them, such as data on employees and customers.
- Use of the website: server log data, such as IP address, time and browser.
3. Why we process data
- To answer enquiries and make offers: legitimate interest and steps prior to a contract.
- To manage the customer relationship, bookkeeping, payroll and reports to authorities: contract and legal obligation, such as the Finnish Accounting Act.
- To keep the website working and secure: legitimate interest.
- To tell current customers about our services: legitimate interest. You can object to this at any time.
4. Where the data comes from
We get the data mainly from you and from the documents you send us. Data may also come from authorities and public registers.
5. Who receives the data
- We do not sell data or give it to anyone for marketing.
- Authorities, such as the Finnish Tax Administration, receive the data the law requires.
- Our service providers, such as cloud services and software, process data on our behalf and are bound by confidentiality.
- The order and quote forms are on the website syntropia.fi. Data sent with them is covered by the syntropia.fi privacy policy (in Finnish).
6. Transfers outside the EU and EEA
The website is hosted on GitHub Pages, the fonts are loaded from Google Fonts and visitor statistics (section 9) are provided by Cloudflare. When you open a page, your browser sends your IP address and browser details to these services. Their servers may be outside the EU and EEA. Transfers rely on the EU standard contractual clauses or the EU–US Data Privacy Framework.
7. How long the data is kept
- Accounting records are kept as the Finnish Accounting Act requires: vouchers for at least 6 years, and financial statements and the balance sheet book for 10 years from the end of the financial year.
- Data from enquiries is deleted when it is no longer needed.
- Marketing data is deleted on request or when it becomes outdated.
8. Data security
We protect the data with access rights, encrypted connections and backups, among other measures. Our staff and service providers are bound by confidentiality.
9. Cookies and visitor statistics
The website does not use cookies. We follow visitor numbers and page load speed with Cloudflare Web Analytics. It does not use cookies or store anything on your device, and it does not identify visitors by IP address or browser details. Your browser sends Cloudflare the address of the page you opened and the previous page, your browser, operating system and device type, and the page load times. Cloudflare infers the country from the connection. We only see summaries, such as visit counts by page and country. If this practice changes, we will update this policy and ask for your consent where needed.
10. Your rights
- You can check your data and ask us to correct inaccurate data.
- You can ask us to delete your data when there is no longer a basis for processing it.
- You can restrict or object to the processing and move your data to another service.
- You can withdraw your consent at any time.
